Taxes & Shipping: State Profiles

What are State Profiles?

State Profiles allow you to update compliance & shipping status for first party wine products on a state-by-state basis. As your compliance changes for each state, you will need to edit the information by using the State Profiles utility.

If you wish to change these settings per product, you can edit the compliance at the individual product level on the States tab of the product setup. Please visit the vinSUITE First Party Wine Product page to learn more.

Note: States Profiles is only used for the compliance & shipping status of wine products. Please visit the vinSUITE First Party Product Taxes page to edit the compliance settings for non-wine products. 
 

 

Updating State Profiles

1) In vinSUITE, expand the Shipping Module and select State Profiles. The State Profiles utility will open in the workspace. A list of states with previously entered tax rates (if applicable) appears in the table.

2) Select the Edit icon Pencil.png (located in the Actions column) for the state you want to edit.
 

General Settings

A.png Compliant  Set the compliance status to "YES" if this particular state is compliant. 
B.png Fulfillment House  Select the Fulfillment House that will be fulfilling orders for this state. By selecting a Fulfillment House, an order notification will be sent to the fulfillment company upon completion of an order.

Note:  Selecting 'Fulfill at Winery' indicates that you will be packaging and shipping customer orders directly from your business.
C.png Update all First Party Wines?  Note: Changing the compliance status or Fulfillment House will NOT automatically update existing products.

To ensure ALL existing products are updated with the new settings, set this toggle to "YES." All new products created after the change takes effect will reflect the new Compliance and Fulfillment settings.
D.png Tax Rate  Select the method to calculate the tax rate information for this particular state. 

Manual Tax Rate - This method calculates the tax rate based on one manually entered percentage and applies to the whole state.

Zip Code Tax - This method automatically calculates the tax rate based on the zip code where the order is shipped or picked up. Each zip code within the state may have an individual tax rate. 

Note: It is highly recommended that you enter a manual tax rate even if you enable Zip Code Tax to ensure an alternative is available for shipping orders.

Tip: Don't see a Zip Code Tax toggle? Zip Code Tax is only available for those who are NOT using ShipCompliant.  
E.png Taxable Shipping  Set to "YES" if shipping charges should be taxed for this state.
F.png Taxable Handling  Set to "YES" if shipping charges should be taxed for this state.
G.png Handling Charges  If the handling charges are to be applied to customer orders, indicate whether the charges are to be calculated based on a percentage of sale or a flat dollar amount.
H.png Handling Charge Rate  Enter the handling charge expressed either as a percentage of sale or flat dollar amount
I.png Bottle Deposit  If the bottle deposit is to be applied to customer orders, indicate whether the charges are to be calculated based on a percentage of sale or a flat dollar amount.
J.png Bottle Deposit Rate Enter the bottle deposit charge expressed either as a percentage of sale or flat dollar amount
K.png Customized Name For orders that include a bottle deposit fee, the name you enter here will be displayed on the customer order


 Click the "Save" button to save any information in the General tab.  
 

For ShipCompliant users:

  • The Tax Rate that is entered in the vinSUITE State Tax Profile is used to estimate sales tax to be paid by the customer. Upon creation of a customer's order, the estimated sales tax will be overwritten by the ShipCompliant Tax Service. The tax rate supplied by ShipCompliant will include both State Tax and also county/city tax.
  • For states which include taxable shipping/handling charges, you will need to indicate that in BOTH the vinSUITE and ShipCompliant State Profile.


 

Compliance Message

Compliance messages allow you to communicate important information to your customers regarding your ability to ship wine to their state. This message will appear on the top of the Product Category

A.png Compliant Message To add a Compliance Advisory Message, enter the statement in the editing window. This message will appear at the top of every store page.
B.png Update all Compliant States 

Setting this toggle to "YES" will replicate the above compliance message on all compliant states.


 Click the "Save" button to save any information in the Compliance Message tab. 

 

Shipping Message

This message will appear in the shopping cart and during checkout.

A.png Shipping Message  To add a Shipping Advisory Message, enter the statement in the editing window. This message will appear in the customer shopping cart and also during checkout.
B.png Update States With Shipping Message 

You can choose to update the message for the single state you are currently editing, or you can replicate this message to display for additional states.


Click the "Save" button to save any information in the Shipping Message tab. 
 

 

If you are initially configuring your Product settings,  you can navigate back to the Setting Up Products page or continue on to the Product Attributes page.
