System Settings: Inventory

What is Inventory?

On the Inventory screen in System Settings, a user can choose the default inventory settings for winery products. From this page, a user can set the inventory email, the Cart Timeout interval, and the default Out of Stock Options. 


Editing Inventory Settings

1) In the vinSUITE admin panel, click the orange 'Settings'  button in the top right of your screen. From the drop-down menu, choose 'System Settings'. 


2) The System Settings will open in the work space. Click the 'Inventory' tab from the Settings sub-menu.



3) Complete the appropriate fields.


A.png  Inventory Email

Enter an email address for inventory notifications.

All internal inventory notifications (low inventory, out of stock, etc.) will be sent to this email address. 

B.png  Cart Timeout

Enter an amount of time in hours for Cart Timeout.

Cart Timeout is the length of time products will be held in a shopping cart before they are released back into the inventory.

This setting is not currently adjustable and is fixed at two hours.

Note: Club orders are exempt from this setting. 

C.png  Out Of Stock Option 

Select an option from the drop-down menu to choose what the vinSUITE system does when a product's inventory hits zero. You can select:

Deactivate Product - Deactivates the product in vinSUITE. The product can no longer be sold and is removed from the website and any OMS menus.

Sell Below 0 and Display Message - Allows sales past the zero inventory level, and posts the message detailed in the 'Out of Stock Message' field. 

Display Message, Don't Sell - Does not allow further sale, and posts the message detailed in the 'Out of Stock Message' field.

Enter the message or description you want to  appear when a product is 'Out Of Stock' in your inventory. 

Note: This message will only be displayed with the appropriate setting in the 'Out Of Stock Option' field. 


Display Quantity Remaining

Enter the default quantity of a product in your inventory. This number will be displayed on your website and start a countdown of remaining quantity.  

Example:  If you start with 5 cases of wine, enter 60 in this field. After a sale of 2 bottles, the number on your website will decrease to 58. 

Email Notification When Inventory Lower Than

Enter the default quantity of a product when you want to receive an email notification, warning you that your inventory is lower than desired.   

Example:  Enter 20 in this field. When your inventory reaches 20 bottles, the system will send a notification to your inventory email.

Out of Stock When Inventory Reaches

Enter the default quantity of a product when you want to stop selling the product. This number allows you to set a "false bottom" for your inventory.   

Example:  If you start with 10 cases, but want to hold back 2 cases, enter 24 in this field. When the inventory hits 24 bottles, this product will no longer be available for sale online. However, you will still be able to sell this wine through OMS. 


4) Click the 'Save' button at the bottom of the page to save any adjusted Inventory Settings.



Note: The settings and quantities applied on the Inventory screen in System Settings will create a default template for winery products to follow. However, you can change the settings for a specific product from the Products Section > Edit Product > Inventory tab.
