Custom Club: Create a Standard Order and Modify Orders with OMS

Create a Standard Order and Modify Custom Orders with OMS

Note: Before continuing, verify all the custom club settings are configured. For additional information, please visit the eWinery Set Up Custom Clubs page. 

If club members do not customize their custom club orders on your website, you will need to create a standard order for each of them. 

You can build a standard order template by setting the Default Quantity for Standard Order for a product in the 'Products' tab. Please review step 17 on the eWinery Create Custom Club Batch page.

Once an order is created, you can choose to modify a custom club order for them as an admin user via the eWinery Order Management System (OMS). You can do this from the club batch or from the Orders screen.



Create a Standard Order in a Custom Club Batch

Note: Before creating an standard order, it is recommended that you process all customized orders so they flow to a Completed status. 

1) Navigate and click the Club icon in the main menu. Search and select the appropriate custom club batch on the Club Processing screen.

2) The club batch window will open. Scroll over and select the 'Orders' tab. 

3) In the 'Orders' tab, navigate to the 'Club Members Without Orders' section. 

If club members haven't customized their club orders on your website, you can select the check boxes for specific members and click the 'Create Orders for Selected Members' button to automatically create a standard order for each member.

Alternatively, you can click the 'Create' button next to each order to create the order individually.

Note: This action will create a standard order for the selected members. Standard orders can be created and then modified by an admin user before processing, or just processed with no changes

All created standard orders will flow into the Unprocessed Club Orders section.

 

 

Modify a Custom Club Order with the OMS

From the Club Batch

1) Once an order appears under the 'Unprocessed Club Orders' section, it is able to be modified. Click on the appropriate order number to open the OMS window for that custom club order.

2)  The Order Summary window will open. Click the 'Edit Order' button to open the eWinery OMS.

3) All the information in the OMS can be altered like a regular order.

Note: All changes will be automatically saved.

The type of order is automatically populated with the custom club order and includes the batch number and member.

With a custom club order, the Add Products to Order section is populated with the products selected for the custom club batch.

Note: Unlike Allocations, you can add any other available product in the OMS. You are not exclusively limited to custom club products. 

The Edit Products in Order section is populated with the standard order for the custom club batch. 

Note: Orders modified by the admin user in the OMS do not need to meet the same requirements as orders customized by club members on websites. It is the responsibility of the admin user to ensure minimums or other requirements are met for OMS orders.

4) Complete any appropriate information before finalizing the order.

From the Orders Screen

1) Click on the Store icon the main menu and select 'Create Orders' from the left hand menu.

2) The OMS window will open. Search and select a member for your custom club order.

3) Select the 'This is a custom club order for' radio button and a drop-down list will populate with all the member's open club batches. Select the correct club batch.

4) All the information in the OMS can be altered like a regular order.

Note: All changes must be manually saved  by clicking the 'Save this order' button.
