Q: How does the MailChimp integration with vinSUITE work? What does it do?  Please detail the specifics.

A:  The MailChimp integration allows you to directly push vinSUITE lists (with or without a tag) over to MailChimp. Any campaign that you send through MailChimp will leave a note in the member's email history in vinSUITE. Additionally, when new members are added to a synced list in vinSUITE, they are automatically added to the corresponding MailChimp audience with no extra work for the winery.


Q: What syncs between MailChimp and vinSUITE? Is information sent back and forth between to MailChimp and vinSUITE?

A:  vinSUITE sends member lists from ListBuilder to MailChimp. MailChimp sends back member information, like when the member becomes an Unsubscriber, and notes in the member's email history if any emails were sent in a MailChimp campaign. vinSUITE will also mark contacts as unsubscribed in MailChimp if they are tagged with that member type in the vinSUITE admin panel.

As a general rule, once you send a list over from vinSUITE, most member information added in one application will stay in that application. Campaign information and tags for unsubscribers are the exceptions that travel both ways.

Best Practice:  If you want to modify the parameters of a vinSUITE ListBuilder list that was already synced with MailChimp, it is best to create a new ListBuilder list and then push it over. If you edit or change any members beyond adding them to a ListBuilder list  that was already synced with MailChimp, it is recommended you create a new list and then push it over.

Example:   List A is created with vinSUITE ListBuilder and synced with MailChimp from vinSUITE.

If a new member is added to List A  in vinSUITE... The new member will be reflected in List A on MailChimp after the nightly sync.
If a new member is added to List A  in vinSUITE and synced with MailChimp... The new member will be reflected in List A on MailChimp immediately.
If a member's phone number is edited in vinSUITE and List A is re-synced with MailChimp... The member's new phone number will be updated on any existing lists in MailChimp.
If a member's physical address is edited in MailChimp... The member's physical address will be updated in MailChimp, but the member record in vinSUITE will NOT be updated.

Note: Essentially, vinSUITE pushes new information to MailChimp, but doesn't pull new information from MailChimp back.

 

Q: What is included in MailChimp's campaign information?

A:  MailChimp's campaign information includes:

  • The name of your campaign
  • The type of format for your campaign (plain text or regular)
  • The status of your email campaign. The status will detail if your campaign is a draft or has been sent.
  • The date you last updated your campaign
  • The audience (list of recipients/contacts) you have chosen to receive your email campaign
  • The number of recipients/contacts included in a campaign
  • The percentages of opened emails
  • The percentages of clicked links in your open campaign emails
  • The percentages of emails bounced
  • The percentages of recipients who unsubscribed from your email campaign.

 

Q:  Does every item of information for a customer update via the integration, like name, club level, birthday, etc. ? Or does MailChimp only save specific information?

A:  MailChimp does not keep track of member profiles for customers like vinSUITE does. MailChimp only saves basic contact information (email address, physical address, and phone number) and the vinSUITE member number.

Example: In order to target customers with specific birthdays, you would need to create a list in vinSUITE for those birthdays and then sync it with MailChimp.

 

Q: Do lists sync nightly, or does a sync only occur when you initiate it?

A: The sync occurs when you click the 'Sync with MailChimp' button and the list syncs nightly after that.

 

Q: If a new customer joins as a club member, and this information is entered into vinSUITE, will his information will be automatically synced to MailChimp?

A: It depends on how your lists are set up. If a synced list includes members for that specific club, then yes, new members will automatically sync to MailChimp.

Note: Members with Unsubscriber member type are never synced over.

 

Q: Does the vinSUITE integration sync when a club member changes clubs within a winery?

A:  If you are using a master list, a member's tag will change when the member switches clubs.

Example: A club member begins with a tag for the Red Club. A year later, they switch memberships from the Red Club to the White Club. On the master list, their tag for the Red Club will be inactivated and a new tag for the White Club will be added.

 

Q: Does the vinSUITE integration sync when a club member address or email changed?

A: No. The email address is the unique identifier for a contact in MailChimp. If a member changes their email address in vinSUITE, they will be seen as a new contact when pushed over to MailChimp. If there is a only a physical address change, the existing MailChimp contact will be updated.

If a member's email address is changed in vinSUITE.... The member's email address will be updated in vinSUITE but will NOT be reflected in MailChimp.
If a member's email address is changed in vinSUITE and synced over to an existing list in MailChimp... The member's email address will be updated in vinSUITE. A second contact will be created in the existing list in MailChimp.

Note: MailChimp treats email addresses as unique identifiers for each contact.
If a member's email address is changed in vinSUITE and synced over to a new list in MailChimp... The member's email address will be updated in vinSUITE. The new list in MailChimp will only have the updated information with the newest email address for a member.
If a member's email address is changed in MailChimp.... The member's email address will be updated in MailChimp but will NOT be reflected in the member record in vinSUITE.
If a member's physical address is changed in vinSUITE and synced to an existing list in MailChimp... The member's physical address will be updated in the member record in vinSUITE, and will be reflected on all existing MailChimp lists.
If a member's physical address is changed in vinSUITE and synced to a new list in MailChimp... The member's physical address will be updated in the member record in vinSUITE. The new list in MailChimp will be updated with the newest address for the member.  

Note: MailChimp does not keep track of previous addresses like vinSUITE does. MailChimp only records one physical address per contact email address.
If a member's physical address is changed in an existing list in MailChimp... The member's address will be updated in MailChimp but will NOT be reflected in the member record in vinSUITE.

Best Practice: It is best to update any information in the vinSUITE member record. Any applicable information will update and flow over to MailChimp during the nightly sync.
